Job Summary

Terra Cost Controls is looking for a Project Systems & Automation Specialist to develop, automate, and maintain an integrated project management system connecting Microsoft Project, Excel (SharePoint), and Power Automate. This role will be responsible for creating automated workflows, task notifications, dashboard data flows, and system integration between scheduling, reporting, and resource tracking tools.

This role is a combination of Project Controls, Systems Automation, and Data Management.

Key Responsibilities

Microsoft Project (MSP):

              •            Build and maintain project schedules in Microsoft Project

              •            Import and export schedules from Excel to MSP

              •            Manage task relationships, durations, resources, and baselines

              •            Publish and maintain Project Online schedules

              •            Maintain resource pool and task assignments

              •            Create and manage custom fields and views

              •            Maintain schedule updates and progress tracking

Excel + SharePoint Integration:

              •            Develop and maintain Excel templates for schedule data input

              •            Link Excel files stored on SharePoint with Microsoft Project

              •            Maintain data structure for:

              •            Task Name

              •            Duration

              •            Start / Finish

              •            Predecessors

              •            Resources

              •            % Complete

              •            Ensure data sync between Excel and MSP

              •            Support dashboard reporting using Excel data sources

Power Automate (Critical Requirement):

              •            Build automated workflows between Microsoft Project, SharePoint, and Outlook

              •            Create automatic email alerts for:

              •            Upcoming tasks

              •            Late tasks

              •            Task assignments

              •            Weekly lookahead schedules

              •            Status reminders

              •            Create approval workflows for project processes

              •            Automate data updates between Excel and MSP

              •            Automate report distribution

Reporting & Dashboards:

              •            Create automated progress reports

              •            Create weekly and monthly dashboards

              •            Support Power BI dashboard data flows (optional but preferred)

              •            Develop reporting templates for project managers

Required Skills

Mandatory:

              •            Microsoft Project (Advanced)

              •            Power Automate (Workflow Automation)

              •            Excel (Advanced – formulas, lookups, pivot tables)

              •            SharePoint (File management and integration)

              •            Understanding of project scheduling logic (predecessors, critical path, baselines)

              •            Experience with automated email workflows

              •            Experience integrating Microsoft Project with Excel

Preferred:

              •            Project Online / Project Server

              •            Power BI

              •            VBA / Excel Macros

              •            Understanding of Project Controls

              •            Experience with construction or data center projects

              •            Knowledge of Earned Value Management (EVM)

Example Tasks This Role Will Perform

              •            When a task start date is 3 days away → automatic email sent to assigned person

              •            When task is late → automatic escalation email sent

              •            When Excel schedule is updated → MSP schedule updates

              •            Weekly Lookahead automatically generated and emailed

              •            Dashboard automatically updated from schedule data

              •            Resource assignment notifications sent automatically

Experience Required

              •            3–7 years experience in:

              •            Project Scheduling

              •            Project Controls

              •            Project Systems Automation

              •            PMO Systems Support
